Look, we get it - nobody actually enjoys reading privacy policies. But since we're lawyers who specialize in cross-border business deals, we figured we'd better walk the walk when it comes to handling your information properly. This policy explains what info we collect, why we need it, and what we do with it.
Transmodular Legal Services operates under Canadian privacy legislation, including PIPEDA (Personal Information Protection and Electronic Documents Act), and we're also mindful of international standards like GDPR when we're working with clients across borders. We've been doing this since 2018, and protecting client confidentiality isn't just a legal obligation - it's literally the foundation of what we do.
Here's the straight talk - we use your information to provide legal services, period. That means drafting contracts, negotiating deals, handling compliance matters, and all the other stuff that comes with corporate law work. We'll also use it to communicate with you about your matters, send invoices, and occasionally (with your permission) share relevant legal updates.
We've been handling sensitive corporate data for years now, and security isn't something we take lightly. Our approach combines technical safeguards with strict internal policies.
End-to-end encryption for data transmission and secure storage protocols
Multi-factor authentication and role-based access restrictions
Quarterly security assessments and system updates
Under Canadian privacy law (and international standards when applicable), you've got several rights regarding your personal information. We've made it pretty straightforward to exercise these rights - just reach out to us.
You can request a copy of the personal data we hold about you. We'll provide it within 30 days (though complex requests might take a bit longer).
If something's inaccurate or outdated, let us know and we'll fix it. Accuracy matters in legal work, so we're actually grateful when clients catch errors.
You can ask us to delete your data in certain circumstances. However, we might need to keep some records for legal or regulatory reasons (like tax compliance or limitation periods).
You can request your data in a commonly used format to transfer to another service provider. We'll provide it in PDF or other reasonable formats.
For marketing communications or optional data processing, you can withdraw consent anytime. Won't affect the legality of processing before you withdrew consent.
Since we handle cross-border transactions, sometimes your data needs to cross borders too. When that happens, we make sure it's protected regardless of where it goes.
We primarily use Canadian and EU-based service providers, but some tools (like certain cloud services) might involve US-based companies. When that's the case, we ensure they comply with relevant privacy frameworks.
We don't keep your data forever, but we can't just delete everything immediately either. Law societies have rules about file retention, and there are tax and limitation period considerations too.
Retained for the duration of our engagement plus the applicable limitation period (typically 6-10 years depending on the matter type). This protects both you and us in case any issues arise down the road.
Contact form submissions and marketing list data are kept until you unsubscribe or request deletion. We review our lists annually and remove inactive contacts who haven't engaged in over 2 years.
Invoices and payment records are kept for 7 years minimum per CRA requirements. Trust accounting records follow Law Society of Ontario rules (10 years).
Aggregated, anonymized analytics data is retained indefinitely for business intelligence purposes. Individual user data is retained for 26 months max.
If you've got questions about how we handle your data, want to exercise any of your privacy rights, or just need clarification on something in this policy, don't hesitate to reach out. We're lawyers - we're used to answering questions.
