But since we're lawyers who specialize in cross-border business deals, we figured we'd better walk the walk when it comes to handling your information properly. This policy explains what info we collect, why we need it, and what we do with it.

Transmodular Legal Services operates under Canadian privacy legislation, including PIPEDA (Personal Information Protection and Electronic Documents Act), and we're also mindful of international standards like GDPR when we're working with clients across borders. We've been doing this since 2018, and protecting client confidentiality isn't just a legal obligation - it's literally the foundation of what we do.

Information We Collect

When you reach out to us or engage our services, we'll typically collect your name, business name, phone number, email address, and business address. For certain matters (especially M&A or IP protection work), we might need additional identification documents. We don't collect more than what's necessary for the job at hand.

This includes info about your company structure, transaction details, contract specifics, and any documents you share with us. When we're working on cross-border deals, this often includes financial records, corporate documents, and IP portfolios. All of this falls under solicitor-client privilege, by the way.

Like pretty much every website out there, we collect some technical stuff - IP addresses, browser type, device info, and how you navigate our site. We use this to improve the user experience and keep our systems secure. Nothing creepy, just basic analytics to make sure everything's running smoothly.

We need billing addresses and payment details for invoicing. We use secure third-party payment processors, so your actual credit card numbers aren't stored on our servers. We keep transaction records for accounting purposes and legal compliance (because the CRA requires us to).

How We Use Your Data

Here's the straight talk - we use your information to provide legal services, period. That means drafting contracts, negotiating deals, handling compliance matters, and all the other stuff that comes with corporate law work. We don't keep your data forever, but we can't just delete everything immediately either. Law societies have rules about file retention, and there are tax and limitation period considerations too.

Active Client Files

Retained for the duration of our engagement plus the applicable limitation period (typically 6-10 years depending on the matter type). This protects both you and us in case any issues arise down the road.

Marketing & Inquiries

Contact form submissions and marketing list data are kept until you unsubscribe or request deletion. We review our lists annually and remove inactive contacts who haven't engaged in over 2 years.

Financial Records

Invoices and payment records are kept for 7 years minimum per CRA requirements. Trust accounting records follow Law Society of Ontario rules (10 years).

Website Analytics

Aggregated, anonymized analytics data is retained indefinitely for business intelligence purposes. Individual user data is retained for 26 months max.
